Fiscal Updates
- Faculty Summer 2026
- The Business Office will be processing summer faculty salary against any grant/contract, start-up, and/or any other salary commitments from the Dean’s Office
- We will review the summer effort commitments in the month of February
- Communication to faculty will commence as soon as the information is gathered and continue through April 1st, which is the B.O. Deadline for Summer Payroll with effective date of 5/23/2026
- 11-month Faculty
- The B.O. will work with faculty to process the summer hire
- This will include the PageUp Request and the Smart-HR Transaction
- Departments will continue to be responsible for processing non-grant summer payrolls
- Important Reminder:
- The overload policy allows faculty to be eligible to earn up to an additional 25% over their summer salary (12/12ths) for non-research activity (May and winter intersession, summer teaching, CETL course development, etc.)
- The overload must be requested and approved prior to the start of the non-research activity
- If you are processing special payroll compensation for your research-active faculty, please contact the B.O. to start the overload request

- Summer Pre-encumbrances:
- The B.O. will be pre-encumbering salary and fringe for FY26 and FY27 (starting 6/12/26 onwards) for the following payroll types:
- Summer Grads, Faculty Summer, and other Special Payroll appointments on grant accounts
- The Pre-encumbrance will be reflected in the May 1st reports

- Travel Policy Changes

- PO Encumbrance in KFS:
- A fix had been released to address the underlying issue causing PO amendments to over encumber when certain accounting attributes were changed.
- The ITS Financials Team is now working with the vendor to correct encumbrance on the affected Purchase Orders
- Please note that until the issue has been fully resolved, account balances may be incorrect
- Cash Handling Tutorial Reminder:
- Cash Handling Training was due by January 30th 2026
- For any that have missed this deadline, you may have lost access to “Cash Handling” related eDocs in KFS

- Appointment dates between 5/23/26 to 8/22/26

- Please note if overload is being requested, it must be prior to the start date of the appointment. Send the overload request form to Amanda for review and for dean signature
- Graduate Summer Special Payroll (PageUp/CORE)
- Appointment Period: 5/23/26 – 8/23/26 (any dates in this range)
- For Start Date of 5/23/26
- Due into PageUp by 3/16/2026
- Smart-HR (Internal B.O. Deadline): 4/1/26
- Smart-HR (University Deadline): 4/17/26
- Appointments must be at least two weeks long and meet or exceed the GA Special Payroll Calculated Minimum pay
- Please include the GA Summer Special Payroll Calculator with all PageUp submissions
- Summer Special Payroll Processing Reminders
- For multiple funding periods or assignments, submit separate PageUp requests for each unique period
- Earlier periods must be fully processed into CORE SHR before adding later submissions into PageUp
- The SHR Hire template pulls its start date directly from PageUp.
- If the date is incorrect in the hire template, the wrong offer may have been selected or the hire has not yet been fed into CORE SHR
- Any changes to Summer Payroll must be
- Submitted in PageUp, then
- Once they are approved, submitted into CORE using the Special Payroll Teaching Pay Change template
- Data changes do not automatically feed into CORE and require manual adjustments to the data in the templates.
- Graduate Students – Fall 2026 (Slate/CORE)
- Fall Semester Dates: 8/23/26 to 1/6/27
- Full Year Dates: 8/23/26 to 5/22/27

- Offer Letters to new students due by 4/1/26
- Offer Letters to returning students due by 6/1/26
- Please note that students do not need to accept an offer until 4/15/26 for the Fall semester

- Payroll Processor training sessions are offered for all admins who process graduate assistant payroll by TGS
- The BO will host collective, in-person sessions during these training blocks in the Young Building for collaborative learning, informal debriefing and Q&A. These will be held in the following locations, and we will join the virtual training in that room.
